1. INTRODUCTION

These Booking Terms & Conditions form the agreement between you ("the Client") and Gustav's Europe & Beyond ("GE&B"), operated by Gustav's Europe & Beyond, part of a Swedish limited liability company (Company Registration No. 559030-6410).

GE&B is a Sweden-based travel design company specialising in individually designed journeys across Europe.

These Booking Terms & Conditions apply to all journey design, travel planning, travel advisory, private guiding, and, where agreed, the coordination and booking of travel services provided by GE&B.

Our journeys are individually designed rather than pre-packaged. Every itinerary reflects a collaborative planning process shaped around the Client's interests, pace, and travel objectives. These Booking Terms & Conditions are intended to provide clarity regarding our respective responsibilities throughout that process.

By accepting a proposal, confirming a booking, or making any payment to GE&B, you acknowledge that you have read, understood, and accepted these Booking Terms & Conditions.



2. OUR SERVICES
GE&B provides individually designed journeys, travel advisory, itinerary planning, private guiding, and, where agreed, the coordination and booking of selected travel services.

Depending on the nature of the journey, GE&B may act in different capacities.

In some projects, our role is limited to journey design, planning, advisory services, and private guiding. In other cases, we also coordinate and confirm travel arrangements with carefully selected third-party suppliers.

Whenever travel services are booked through GE&B, we will clearly communicate whether GE&B acts as the contracting party for those services or whether agreements are entered into directly between the Client and the relevant supplier.

Flights are normally arranged independently by the Client, either directly or through a preferred travel advisor. Where appropriate, GE&B is pleased to collaborate with the Client's existing travel advisor or recommend trusted partners for flights, travel insurance, or other specialist travel services.

3. JOURNEY DESIGN & PLANNING
Every journey begins with a professional planning process.

Our work may include consultations, destination research, itinerary development, logistical planning, supplier coordination, historical and cultural recommendations, restaurant suggestions, and other advisory services tailored to the Client's journey.

Journey proposals are developed progressively and remain indicative until individual travel services have been confirmed.

The planning and design work carried out by GE&B constitutes professional intellectual services. This work has value independent of whether the Client ultimately proceeds with bookings or travels with GE&B.

Throughout the planning process, we work closely with the Client to refine the journey. While every effort is made to accommodate requests and preferences, recommendations are always guided by what we believe will create the strongest overall travel experience.

4. PLANNING FEES
Professional planning is the foundation of every journey we create.

For most individually designed journeys, a non-refundable Planning Fee applies before detailed planning begins. The applicable fee will always be confirmed in writing before work commences.

The Planning Fee covers the professional time, expertise, research, consultations, itinerary design, supplier discussions, and other planning services required to develop your journey.

The Planning Fee does not constitute a booking of travel services and does not reserve availability with hotels, transportation providers, restaurants, guides, or other third-party suppliers.

Unless otherwise agreed in writing, planning work begins once the Planning Fee has been received.

Where specifically agreed, all or part of the Planning Fee may be credited towards GE&B's professional fees if the journey proceeds to confirmation and booking through GE&B.


5. JOURNEY PROPOSALS
Journey proposals are developed collaboratively and evolve throughout the planning process.

Until individual travel services have been confirmed, all suggested itineraries, accommodations, activities, restaurants, transportation, guides, pricing, and availability remain indicative and subject to change.

Availability may change without notice, particularly during peak travel periods, festivals, and seasonal events.

Should adjustments become necessary before confirmation, GE&B will always seek solutions that preserve the overall character, balance, and quality of the journey.

6. BOOKINGS & THIRD-PARTY SUPPLIERS
Following approval of the proposed journey, GE&B may, where agreed, coordinate and confirm bookings with selected third-party suppliers.

These suppliers may include hotels, transportation providers, local guides, restaurants, activity operators, museums, cultural institutions, and other travel partners.

Where GE&B arranges bookings on the Client's behalf, confirmations remain subject to availability until reservations have been accepted by the relevant supplier and any required deposits have been received.

Many elements of a journey are provided by independent third-party suppliers operating under their own booking conditions and cancellation policies. These may differ from GE&B's own Booking Terms & Conditions and may result in additional costs in the event of changes or cancellations.

Where applicable, GE&B will communicate any material supplier-specific conditions before confirmation.

7. PRICING
All prices are quoted in the currency specified in the proposal or invoice.

Unless otherwise stated, quotations are based on supplier rates, exchange rates, taxes, and other costs applicable at the time the proposal is prepared.

Prices remain indicative until all relevant services have been confirmed.

Should supplier prices, exchange rates, taxes, or government charges change before confirmation, GE&B reserves the right to revise the quotation accordingly. Any such revisions will always be communicated before bookings are confirmed.

Unless specifically stated in writing, quotations do not include flights, travel insurance, visas, passports, gratuities, city taxes, excess baggage charges, personal expenses, or other items not expressly included in the proposal.

8. PAYMENTS
A non-refundable deposit of 30% of the total journey price is required upon confirmation, unless otherwise specified in writing.

For certain journeys involving peak travel periods, domestic flights, special events, or supplier-specific requirements, a higher deposit may be required. This will always be communicated before confirmation.

The remaining balance is generally due 60 days prior to arrival, unless another payment schedule has been confirmed in writing.

For reservations made within 60 days of arrival, full payment is normally required at the time of confirmation.

GE&B accepts payment by bank transfer, Wise, Visa, Mastercard, American Express, and Diners. Credit and debit card payments are processed securely through GE&B's authorised payment provider.

All payments must be made in the currency specified on the invoice. Any bank charges, transfer fees, or currency conversion costs remain the responsibility of the Client.

Invoices are payable upon receipt unless another due date is stated.

Failure to make payment by the due date may result in GE&B suspending planning work, postponing or cancelling reservations, or withholding confirmation of travel services until payment has been received in full.

Where permitted by applicable law, overdue amounts may accrue statutory interest and reasonable collection costs.

9. CHANGES TO YOUR JOURNEY
Travel is dynamic by nature, and occasionally adjustments become necessary.

Prior to confirmation, proposed itineraries, accommodations, activities, transportation, and other travel services remain subject to availability and may change.

After confirmation, GE&B will make every reasonable effort to deliver the journey as agreed. Should a change become necessary due to circumstances beyond our reasonable control or operational requirements, we will inform the Client as soon as reasonably possible and discuss suitable alternatives.

Where a proposed change materially affects the overall character of the confirmed journey, GE&B will work with the Client to identify an appropriate solution.

Minor adjustments, including changes to timing, routing, restaurants, guides, accommodations of comparable standard, or similar operational details, may occasionally be necessary and do not constitute a material change.

10. CANCELLATIONS BY THE CLIENT
If you need to cancel your journey, notice of cancellation must be submitted in writing.

Unless otherwise agreed in writing, the following cancellation charges apply to the total confirmed journey price:

  • 30% non-refundable deposit upon confirmation

  • 60–46 days prior to arrival: 50% of the total journey price

  • 45–31 days prior to arrival: 75% of the total journey price

  • 30 days or less prior to arrival: 100% of the total journey price

Planning Fees are non-refundable once planning work has commenced.

Certain third-party suppliers may apply cancellation conditions that differ from those above. Where applicable, any additional supplier charges will be communicated to the Client and remain the Client's responsibility.

Should the Client wish to amend confirmed arrangements rather than cancel them, GE&B will make every reasonable effort to accommodate the request. Any additional costs imposed by suppliers, together with any reasonable administrative costs incurred by GE&B, may apply.


11. CANCELLATIONS BY GE&B
In the unlikely event that GE&B is unable to deliver the confirmed journey or a significant part of it, we will inform the Client as soon as reasonably possible.

Where appropriate, GE&B will make every reasonable effort to offer suitable alternatives.

If no reasonable alternative can be agreed, GE&B will refund amounts paid for services that cannot be delivered.

Planning Fees remain non-refundable, as they relate to professional services already performed.

GE&B reserves the right to cancel arrangements in cases of non-payment, force majeure, safety concerns, or other circumstances beyond our reasonable control.

12. TRAVEL DOCUMENTS, INSURANCE & HEALTH
The Client is responsible for ensuring that all travelers hold valid passports, visas, entry permits, vaccinations, and any other documentation required for the journey.

Clients are also responsible for ensuring that they are medically fit to participate in the planned journey and any activities included.

GE&B strongly recommends that all Clients obtain comprehensive travel insurance covering cancellation, medical expenses, personal belongings, travel disruption, and other relevant risks.

Baggage and personal belongings remain the responsibility of the Client throughout the journey.

Where activities involve an element of physical participation or inherent risk, participation is entirely voluntary and undertaken at the Client's own discretion.

13. PRIVACY & PHOTOGRAPHY
GE&B respects the privacy of every Client.

Personal information is collected and processed only to the extent necessary to design, arrange, and deliver the agreed journey, and in accordance with applicable data protection legislation.

Throughout the planning process and during the journey itself, GE&B treats all personal information, travel preferences, and itinerary details as confidential.

Photographs or video recordings of Clients will only be used with the Client's prior consent.

Likewise, we kindly ask Clients to respect the privacy of our guides, partners, and local hosts by requesting permission before photographing or filming individuals in a professional setting.

The use of drones during activities arranged by GE&B is permitted only where local regulations allow and prior approval has been obtained.

14. INTELLECTUAL PROPERTY
All journey concepts, proposals, itineraries, written material, travel recommendations, maps, schedules, and other planning documents prepared by GE&B remain the intellectual property of GE&B unless otherwise agreed in writing.

These materials are prepared exclusively for the Client for whom they were created.

They may not be copied, distributed, reproduced, published, or used commercially without GE&B's prior written consent.

Following confirmation of the journey, the Client is naturally free to use the final itinerary and travel documents for the purpose of undertaking the agreed journey.

15. LIABILITY
GE&B is committed to exercising reasonable skill, care, and professional judgment in the design, planning, coordination, and delivery of every journey.

Many elements of a journey are provided by independent third-party suppliers, including hotels, transportation providers, restaurants, activity operators, museums, and local guides. These suppliers operate independently and remain responsible for the services they provide.

Where GE&B coordinates such services, we do so with care and diligence but cannot accept responsibility for the acts, omissions, delays, or failures of independent suppliers.

Nothing in these Booking Terms & Conditions excludes or limits any liability that cannot legally be excluded under applicable law.

To the fullest extent permitted by applicable law, GE&B shall not be liable for indirect or consequential losses, including loss of enjoyment, loss of business, loss of income, or other consequential damages.

16. COMPLAINTS
Should any issue arise during your journey, we kindly ask that you inform GE&B as soon as reasonably possible.

Many concerns can be resolved immediately when brought to our attention while travel is ongoing.

If a matter cannot be resolved during the journey, any complaint should be submitted in writing within a reasonable time after the journey has concluded, allowing us the opportunity to investigate the circumstances with the relevant suppliers where appropriate.

GE&B is committed to handling all complaints fairly, promptly, and in good faith.

17. GOVERNING LAW
These Booking Terms & Conditions are governed by the laws of Sweden.

Nothing in these Booking Terms & Conditions affects any mandatory consumer rights that may apply under applicable law.

Any dispute that cannot be resolved amicably shall be handled in accordance with applicable Swedish law and any mandatory consumer protection legislation.
